Booking Policies

By booking an appointment with In Touch Wellness, you agree to these policies. Thank you for your understanding and cooperation as we strive to provide the best experience for all our clients.

1. Booking Requirements

  • Online Booking: All appointments must be scheduled through our online booking system. Same-day appointments are subject to availability.

  • New Clients: New clients are required to complete an intake form at the time of booking. At the start of your first session, we will take a few minutes to review your intake form and conduct a brief assessment of your goals for the day. For office appointments, please plan to arrive 5-10 minutes early. For mobile sessions, we will arrive at your location 5-10 minutes before the scheduled start time to ensure everything is set up for your session.

2. Cancellation Policy

  • Notice Period: Cancellations or rescheduling requests must be made at least 2 hours before your scheduled appointment.

  • Late Cancellations: Cancellations made less than 2 hours in advance will incur a fee equal to 50% of the service cost.

  • No-Shows: No-shows will be charged 100% of the service cost. Future bookings may require payment upfront.

3. Late Arrival

  • Late Arrival – Client

    • In Office:

      • Grace Period: Clients have a 15-minute grace period for late arrivals.

      • Reduced Session Time: If you arrive more than 15 minutes late, your session may be shortened to accommodate the next client.

      • Missed Appointments: Appointments will be considered a no-show if you arrive more than 30 minutes late without prior communication.

    • Mobile:

      • Grace Period: Refers to client availability upon the therapist’s on-time arrival. Setup typically takes 5-10 minutes.

      • Reduced Session Time: Sessions may be considered late if the client is unavailable 15 minutes after the therapist’s arrival. Session time may be reduced accordingly.

      • Missed Appointments: If the therapist arrives at the property and no one is present 15 minutes after the scheduled start time (and no prior communication has been made), the appointment will be considered a no-show.

  • Late Arrival – Therapist

    • In Office:

      • Grace Period: The therapist will be on-site no later than 15 minutes before the session start time.

      • Room Availability: The treatment room may not be available until 10 minutes before the session start time.

    • Mobile:

      • Grace Period: The therapist aims to arrive 5-10 minutes before the session start time to set up and begin promptly.

      • Communication: If the therapist anticipates arriving at or after the session start time, they will communicate the estimated arrival time via text and/or call. While sessions are booked with travel buffer time, multiple mobile appointments may cause delays. The therapist will inform the client of any issues as soon as they arise.

      • Reduced Session Time: If a session starts late due to the therapist’s delay, clients can expect the full session time or, if preferred, a reduced session with an adjusted fee.

      • Missed Appointments: If the therapist has not arrived or communicated a delay by 15 minutes after the scheduled start time, please contact the therapist for further instructions.

4. Payment Policy

  • Initial Payment: Initial sessions must be paid in advance to confirm your appointment.

  • Subsequent Sessions: Return sessions may be paid after treatment via credit card, Venmo, or CashApp in person. Alternatively, a payment link can be sent prior to treatment if prepayment is preferred by the client.

  • Gratuity: Tips are appreciated but not required. They can be given in cash or added to your card payment.

5. Health and Safety

  • Illness: Please reschedule your appointment if you are feeling unwell. Clients showing signs of illness may be asked to reschedule for a later date.

  • Hygiene: For the comfort of all clients, we maintain a clean and professional environment. Please ensure personal hygiene before your appointment.

6. Age Requirements

  • Minors: Clients under the age of 18 must have a parent or guardian present during the session or provide written consent. Children under the age of 14 must have a parent or legal guardian present in the room.

7. Gift Certificates and Packages

  • Gift Certificates: Gift certificates do not expire. Electronic gift cards are available, do not expire, but are for value only. As prices change, the value may no longer cover the full price of the originally intended gifted amount.

  • Packages: Packages have a structured use-by timeframe. A 6-session package must be used within 6 months, and a 12-session package must be used within 12 months.
